Privacy Policy
Healthy Spirit Guide LLC ("Healthy Spirit Guide," "we," "us," or "our") operates the website healthyspiritguide.com and the membership platform available through it (the "Service"). Privacy is one of our core promises — the Service is ad-free, we do not sell your personal information, and we do not share it with advertisers. This Privacy Policy explains what information we collect, how we use and protect it, and the choices and rights you have.
This Privacy Policy applies to personal information collected through the Service. It works together with our Terms of Service. By creating an account or using the Service, you acknowledge this Privacy Policy.
Quick Summary
This policy is detailed, so here is the short version. What we collect: your account information, the content you create (journals, reflections, tracker entries, community posts, AI conversations), and technical and usage data needed to run, secure, and improve the Service, including through analytics tools. How we use it: to provide and personalize the Service, process payments, keep your account secure, and communicate with you. What we never do: sell your personal information, share it with advertisers, or show you ads. Who helps us: a small set of service providers (payments, hosting, database, email, content delivery, AI) who process data only on our behalf. Your control: you can edit your information, export it on request, and delete your account — with a 30-day recovery window before deletion becomes permanent. The full details follow.
1. Information We Collect
1.1 Information you provide to us.
Account information. When you register, we collect your email address and authentication credentials. Passwords are cryptographically hashed; we never store or see your plaintext password. If you sign in with Google (or, when available, Apple), we receive basic profile information from that provider, such as your name, email address, and account identifier. We also record the date and time you accept our Terms of Service.
Profile information. You may choose to set a display name and upload an avatar image for community features. These are visible to other members where you participate in community areas.
Health and wellness entries. If you use the trackers, we store the entries you make — such as mood, sleep, weight, and calorie records. This information is self-reported, is used to display your own history and reflections back to you, and is treated as sensitive information under this policy.
Journals, reflections, and spiritual content. We store the content you create in the Service, including gratitude and memorial journal entries, prayer tools, organizer lists, saved favorites, private reflections, and messages in group reflections. Content in a group reflection is visible to the members of that group.
AI conversations. When you use AI features — the Spirit Guide companion, AI-assisted reflections, or dream interpretation — we store your messages and the AI's responses so your conversations have continuity and context. See Section 3 for how AI conversations are processed.
Community contributions. We store your Collective Wisdom responses, replies, votes, reactions, and reports, along with your display name and acceptance of the Community Rules. Community contributions are visible to other members and may be incorporated into AI-generated community summaries.
Payment and gift information. Payments are processed by Stripe. We do not collect or store full payment card numbers. We receive and store subscription and transaction records from Stripe — such as your subscription status, plan, billing period dates, and payment outcomes — along with gift purchase records and gift codes, which may include a recipient's name or email if you provide them for gift delivery.
Communications. When you contact us through the contact form or by email, we store your message and contact details so we can respond and keep a support history.
1.2 Information we collect automatically.
When you use the Service, we automatically collect limited technical information needed to operate and secure it: IP address, browser and device type, pages visited, and security-related events such as login attempts and CAPTCHA verification results. We also record feature-usage signals within the Service (for example, which features you use) to personalize your experience, such as suggesting relevant content and guiding you to features that fit how you use the Service.
1.3 Cookies, local storage, and analytics.
We use essential and functional browser storage — authentication tokens that keep you signed in and preference settings that remember your choices — and our security provider (hCaptcha) and content-delivery provider (Cloudflare) may set cookies necessary for abuse prevention and performance.
We also use analytics services — currently Google Analytics and PostHog — to understand how the Service is used in aggregate (such as pages visited, features used, and general device and approximate-location information) so we can improve it. These services use cookies or similar identifiers. We configure our analytics with advertising and ads-personalization features disabled, and we do not send the contents of your health entries, journals, reflections, or AI conversations to analytics services. We may use session replay to diagnose errors and usability problems. Replays are masked at the source — in your browser, before anything is transmitted — so that the text you type and the text displayed on your screen are replaced with placeholder blocks; replays never capture the contents of your health entries, charts, journals, reflections, or AI conversations, and sensitive interface areas are excluded from recording entirely. You can limit analytics collection through your browser settings, browser extensions such as Google's Analytics opt-out add-on, or by contacting us.
We do not use advertising cookies or social media trackers, and we do not sell or share personal information for targeted advertising.
1.4 De-identified and aggregated data.
We may create de-identified or aggregated data (for example, overall usage statistics) by removing information that identifies you. We maintain such data in de-identified form, do not attempt to re-identify it, and may use it to understand and improve the Service. De-identified data is not personal information under this policy.
2. How We Use Your Information
We use personal information to: provide, maintain, and personalize the Service and its features; authenticate you and keep your account secure; process subscriptions, gifts, and other payments and maintain billing records; power AI features and display your content back to you; operate community features and enforce our Community Rules; respond to your questions and support requests; send transactional and service communications (such as receipts, billing notices, security alerts, and changes to our terms); understand in aggregate how the Service is used and improve its features, performance, and content; detect, prevent, and respond to fraud, abuse, security incidents, and violations of our Terms of Service; comply with legal obligations, including tax and accounting requirements; and establish or defend legal claims.
We do not use your personal information for third-party advertising, and we do not sell it — to anyone, for any purpose.
If we ever introduce optional marketing emails, they will include a clear unsubscribe option, and opting out will not affect transactional emails needed to run your account.
3. AI Features and Your Conversations
The Service's AI features — including the Spirit Guide companion, AI-assisted reflections, dream interpretation, and community summaries — are powered in part by third-party artificial intelligence providers. When you use an AI feature, the relevant content (such as your message and limited recent conversation context) is transmitted to an AI provider to generate a response. Under the terms of our agreements with these providers, conversation content submitted through their business services is not used to train their models.
Your AI conversation history is stored so that your companion can maintain context and continuity. Automated safeguards screen AI interactions for abuse and misuse. We do not routinely read your AI conversations; we may review specific conversations when they are flagged by our safeguards, when needed to investigate abuse or a security incident, when you ask us for support with an issue, or when required by law. AI usage limits (such as message limits) are enforced automatically, which requires keeping usage counts.
Community summaries published in Collective Wisdom are generated from member responses to the weekly question; they synthesize community contributions and may reflect the substance of what you posted publicly there.
4. When We Share Information
We do not sell personal information, and we do not share it with advertisers. We disclose personal information only in these circumstances:
Service providers. We use a small set of providers who process data on our behalf and only for the purposes described in this policy: payment processing (Stripe), database and authentication infrastructure (Supabase), website hosting (Cloudways), content delivery and media storage (Cloudflare), transactional email delivery (Brevo), abuse prevention (hCaptcha), usage analytics (Google Analytics and PostHog, configured as described in Section 1.3), and artificial-intelligence processing (our AI providers, as described in Section 3). These providers are bound by their own contractual and legal obligations regarding data they process.
Other members, as you direct. Content you post in community areas (Collective Wisdom, replies, reactions) and content you share in group reflections is visible to the members of those spaces, along with your display name and avatar.
Legal compliance and protection. We may disclose information if we believe in good faith that disclosure is required by law, subpoena, or legal process, or is necessary to protect the rights, property, or safety of Healthy Spirit Guide, our members, or others — including to prevent fraud or respond to an imminent threat of harm.
Business transfer. If Healthy Spirit Guide LLC is involved in a merger, acquisition, or sale of assets, personal information may be transferred to the successor entity. If such a transfer materially changes how your information is used, we will provide notice before your information becomes subject to a different privacy policy.
5. How We Protect Your Information
We take the security of your information seriously and use technical and organizational safeguards appropriate to the sensitivity of the data we hold. These include: database-level row security that restricts each member's personal data — including health entries, journals, and reflections — to that member's own authenticated account; encryption of data in transit; cryptographic password hashing; delegation of card processing to Stripe so that payment card numbers never touch our systems; login attempt limits, CAPTCHA verification, and rate limits to prevent abuse; and restricted administrative access.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If you suspect unauthorized access to your account, contact us immediately at email@healthyspiritguide.com.
6. Data Retention and Account Deletion
While your account is active, we retain your account information and content so the Service can function and your history remains available to you. You can edit or delete individual content (such as tracker entries, journal entries, and saved items) at any time through the Service.
When you delete your account, the following lifecycle applies, consistent with our Terms of Service: (1) your deletion request immediately cancels any active subscription and places your account in a pending-deletion state; (2) for 30 days, you may recover your account and data simply by logging back in; (3) after 30 days, your account and personal data — including your profile, health entries, journals, reflections, AI conversations, and community identity — are permanently and irreversibly deleted from our systems by an automated process.
What we retain after deletion. Financial and transaction records (such as payment history and invoices) are retained after account deletion, disassociated from your deleted account, because we are legally required to keep them for tax, accounting, and fraud-prevention purposes. Community contributions that were incorporated into already-published community summaries may persist in those summaries in non-identifying form. Records we are required to preserve for legal reasons (for example, in connection with a dispute) are kept for as long as required.
Backups. Deleted data may persist in encrypted backups for a limited period before those backups are cycled out; backup copies are not used to restore deleted accounts except in a disaster-recovery scenario.
7. Your Rights and Choices
We extend the following rights to all members, regardless of where you live. To exercise any of them, use the tools in your account or contact us at email@healthyspiritguide.com:
Access and portability. You may ask what personal information we hold about you and request an export of your information in a common machine-readable format.
Correction. You can update your account information, display name, and content directly in the Service, or ask us to correct inaccurate information.
Deletion. You can delete individual content at any time and delete your entire account through your account page, subject to the 30-day recovery window and the limited retention described in Section 6.
Restriction and objection. You may ask us to restrict or stop certain processing. Note that some processing is necessary for the Service to function — for example, we cannot provide the Service without storing your account data.
Communication preferences. Transactional emails (receipts, security notices, terms changes) are part of operating your account. Any marketing communications, if offered, will include an unsubscribe option.
No discrimination. We will never penalize you for exercising your privacy rights.
We may need to verify your identity before fulfilling a request (typically by confirming control of your account email). We respond to verified requests without undue delay, and we do not charge a fee unless a request is manifestly excessive or repetitive, in which case we will explain why before proceeding. These rights are subject to limited exceptions — for example, records we must retain by law.
8. Consumer Health Data
Some information you provide — such as mood, sleep, weight, and calorie entries, and wellness-related content in journals, reflections, and AI conversations — may be considered "consumer health data" under the laws of certain U.S. states (such as Washington's My Health My Data Act and similar laws). For that information, in addition to everything else in this policy: we collect it only when you choose to enter it; we use it only to provide the Service to you and for the purposes described in Sections 2 and 3; we do not sell it, share it for advertising, or use it for any form of health-related profiling or marketing; access within our systems is restricted as described in Section 5; we do not send the contents of health entries to our analytics providers; and you may access, export, and delete it as described in Sections 6 and 7. We do not use geofencing, and we do not collect precise geolocation data.
9. Children's Privacy
The Service is intended for adults and is not directed to anyone under 18. We do not knowingly collect personal information from anyone under 18 (or under 13 for purposes of the U.S. Children's Online Privacy Protection Act). If you are a parent or guardian and believe a minor has created an account or provided us personal information, contact us at email@healthyspiritguide.com and we will delete the account and associated information.
10. Where Your Information Is Processed
Healthy Spirit Guide operates from the United States, and your personal information is processed and stored in the United States (and in the regions used by our infrastructure providers). If you access the Service from outside the United States, you understand that your information will be transferred to and processed in the United States, where privacy laws may differ from those in your jurisdiction.
11. Changes to This Policy
We may update this Privacy Policy to reflect changes in the Service, our practices, or applicable law. When we make material changes, we will notify you by email to your account address or by an in-app notice, update the "Last Updated" date above, and archive prior versions. Your continued use of the Service after the effective date of an updated policy constitutes acknowledgment of the update.
